Important Member Information for the AGM on November 26 at 7pm

The Interim Board has done much work consulting with governance experts since October 1 to create an environment in which the meeting of members on November 26 can run smoothly and everyone can have confidence in the proceedings. We are grateful for the support we have received from Sport Manitoba to ensure confusion and disruption does not occur again.

To assist all members in having confidence in the continuation of the AGM, the following information is being provided for clarity: 

Register for the AGM by November 22, 2023

AGM Registration Form

Members wishing to attend will be required to register in advance of the meeting by completing this Google form by Wednesday, November 22, 2023. A link to attend the meeting will be sent via email on Saturday, November 25, 2023 and admittance will be granted upon verification. Members will also be provided with the number of votes they have. 

Membership in good standing is defined in Section 2.1 of the Vortex By-Laws

1. Any participant who applies for registration with the Club and has been accepted by the Club.
2. If the participant is under 18, the membership falls to the parent/guardian.
3. All payments must have been made.
4. The participant must be registered with Water Polo Canada.

About Voting Members

To be a voting member of Vortex Water Polo, persons must be associated with, and registered in, a paid RAMP account. Anyone who is associated with the club on a two week free trial, or is on contract as staff, and not registered as a paid member, is not eligible to vote. 

For example, in a family with multiple youth athletes, the primary parent/guardian would receive one vote for each athlete. If the secondary parent is registered as a volunteer with this paid account, they receive one vote for themselves. However, a member may only hold one type of vote, meaning if a parent/guardian holds their youth athlete’s voting membership, they would not be eligible to also use their own parent/guardian volunteer membership for the purposes of voting. 

So, if Sally and John are registered as minor participants under Louise and Joe as their parents/guardians, with Louise as the primary parent and Joe as a registered volunteer, Louise would have 2 votes and Joe would have 1.

Electronic Voting System

We will be using an electronic voting system to ensure votes are counted correctly and that each member receives the correct number of votes they are entitled to.
